The activation code expires every 30 days but once it has been entered into the application, the user will not need to input it again unless they uninstall the app. There are two different codes that can be used:

Once you have successfully logged into the mobile app the screen will display Dashboard, Work orders and Assets

The dashboard section will provide an overview of the number of jobs which are outstanding. This sometimes needs to be refreshed to see all the number of jobs. You can click on the dashboard section which will provide a list of reactive, quote and PPM jobs which you can refresh to ensure the lists is kept up to date. You will need to click on each section to provide a list of all jobs.

Checking into the building and starting a job

Step 1. Finding the check in point

It is a requirement to check into the site as this confirms the arrival at the site. The check in methods are Bluetooth and GPS. The client can use either of the two methods, but the preferred method is the Bluetooth beacon. The Bluetooth beacon can be found at the entrance of the building.

Step 2. Checking in

To check in you will need to tap the Check in Option. You will need to ensure that Bluetooth settings is switched on on your device. Providing it is, your device will register which site you are at. You will then need to tap on the “Check in” in the right-hand corner of the screen. Once successfully logged in you will see a list of both reactive and PPM jobs

Step 3. No Building available for check in

Upon checking in, if there is no building found you will have the option to click “Scan again”. If this does not work you will need to click on “I can’t use Bluetooth”. This will then prompt you to use GPS.  The GPS works by longitude and latitude. If this does not work, you will need to click on “I can’t use GPS”. If you cannot use the check in methods, you will need to contact the Ostara Helpdesk on 03306782708 opt 2

Step 4. Starting the job

Once successfully checked into the building you will need to tap on the work order button, which will display open work orders for the site that you are checked in at. This will display a list of work orders. You will need to find the work order you are to start.

The top right-hand corner of the below image is where all the actions can be made by the attending engineer when checked into the building

  • Engineer needs to click “Start the job”
  • Depending on the job type a brief questionnaire will be required to be answered upon starting the job. This is a brief risk assessment to ensure that there are no hazards associated with the task that the engineer is starting. If the engineer states that there are hazards associated, he will not be able to start the job. Once the questions have been completed this will need to be submitted.
  • Successfully starting the job will change the job status to “Attendance started”

Reactive stop job function – Revisit required/ job completed

To stop a work order on the Ostara mobile app you will need to ensure that the work order is in a status to do this. It will need to show as “Attendance started”.

  1. Check the status of the work order. Ensure it is in “Job started”
  2. Tap ‘stop/pause job’
  3. The engineer will be prompted to check into the building again; so, the engineer will need to ensure they are at the check in point to do so (entrance of the building)
  4. The engineer is required to enter if a revisit is required or not and select the appropriate option
  • The engineer will be asked if the fault/location on the work order is correct. If no is selected, the engineer will get the option to change this. You can change both the location and issue or one. If you do change one, then you can enter the correct fault/ location in the search bar which appears
  • Based on the words entered the system will automatically provide options for

you to choose from. Once selected, click submit

  • Next the engineer will be asked “Is a temporary fix in place”. If a temporary fix was made tapping yes will record this and display a drop-down list to choose from: ETA of revisit, Revisit reason and details
  • Depending on whether the engineer has stated the job is completed or a revisit is required, they will be prompted to add parts.

If parts were used, then they will be required to add these. These can be added using the parts itemised below or by searching for these and entering the quantity of the part.

  • Once all details have been inputted, the job will be successfully paused/ job completed
