Scanning into a Building

  1. Select the client you plan to work on.

2. The app will remember the last client you selected. To change client, press Clients and choose the correct brand from the list. Select the scan button and hold your phone in front of the building’s QR plaque. This will activate your camera and scan the QR code.


You also have the option to view the telephone check-in number by pressing the phone icon. This option should only be used if you cannot scan in using the QR code. You may be asked to enable location services – please allow.


3. The app will then confirm that you are within range of the correct building.
Add your travel time and mileage then press Continue.
If it does not confirm you are within range, please proceed and our team will verify the location details later. Press Continue.

Beginning a Task

  1. When you check in to a building, a list of available tasks will appear. You can filter the results by Reactive Works, Quoted Works or PPMs by selecting the icons at the top of the screen.

    Once you have found the correct task, press View Task.

2. Press the green icon at the bottom of the screen to begin. Click Task List to go back at any time.

Risk Assessment Questions

  1. When you begin a task, a list of H&S Questions will appear. You can Answer each question with a yes or no or yes if its N/A
    Once you have completed the questions with all positive answers select Save to continue.

    If you have selected a any negative answers, you will have the option to Continue or to Defer the task, please use the text box below the questions to explain if you are deferring, otherwise proceed to upload a Site Specific Risk Assessment

2. Press to select all the relevant Generic Risk Assessments.
Click Done to complete the Risk assessment process and continue to the task.

Available Task Information

  1. Once you have begun a task, there are a number of pages to be navigated through. Use the arrows in the blue bar at the top or swipe left and right on the screen.

2. Review existing Event Notes associated with this task.


3. Upload photos using the icon at the bottom of the screen.


4. Upload documents such as compliance certificates and RAMs using the New Document icon.

Building Care Tasks

  1. View and respond to any Building Care Tasks.

2. Select the relevant Building Care Task to update the task status.

PPM

  1. If working on a PPM asset, all of the outstanding or completed asset for that building will be shown.

2. Having selected a PPM asset, the details of the asset will be shown on screen.

Once the asset has been serviced, update the app with the relevant information.

Press Asset List button and return to PPM Asset List.

How to Delegate an Asset

  1. After scanning into a building with the app and selecting the PPM asset, you will be able to view the assets that require completing.

2. Select an asset and the app will take you through to the asset detail. At this point you can opt to delegate the asset to another engineer currently on site with you. If you wish to do this, select Delegate Asset.


3. If you opt to delegate the asset, this screen will appear. Make sure you have verbally agreed with the other engineer on site who will complete the asset.
Whoever delegates will no longer be able to see the asset in their list. If the open asset is not closed correctly your company will not be able to claim for payment without extra administration.
Please note: If you both attempt to delegate the asset it will disappear from both engineers’ lists and your company will not be able to claim for it.


4. Once you have delegated the asset to another engineer, it will no longer show in your list. It will only be visible to the engineer whom you have verbally assigned it to.

Working on an Asset

  1. Select Yes and scan the asset, select No if there is no asset to scan

2. Search or browse Assets below


3. Once you have found the Asset, select it by pressing Choose Asset


4. Select Confirm Asset, this will link the Asset to the current task and save the history to the Asset.

Finishing a Task

  1. Confirm the closing status of the task.

2. Add work notes.


3. Add details of any materials used.


4. Press Get Signature to enable the Client to sign for the work


5. Type in the full name of the Client representative and then ask them to sign using their finger on the main screen.


6. Highlight if there are any residual issues and the severity of these.


7. Any stages that have not been completed will show here as red. Select them to go back to the relevant screen and press Finish Task when you are ready to complete.


8. The app will then ask you to confirm that the information supplied is correct by selecting the tick box and clicking Submit.

Checking Out

  1. You now have the option to begin another task or to check out of the building. To do this, simply press the Scan Out button and point your device at the building’s QR plaque or sticker.

2. Press Check Out. The app will confirm that you have successfully checked out of the building.
